Calendar management in myrentcar

Find out how to manage the calendar visible on the myrentcar schedule.

This part of the schedule gives an overall view and enables you to monitor short-term contracts, with or without renewals, as well as fleet alerts. Activities can be created and modified directly from this screen in your myrentcar car rental management solution

Today's date and target date

A purple line runs the length of the schedule, allowing you to situate yourself in time. It is automatically positioned according to the current date and time.

A red marker on the frieze shows the date according to the position of the mouse on the schedule. When creating an activity, this makes it easier to target dates:

Highlighting the period or date

Depending on the settings, it is possible to highlight annual periods or specific days. In the example below, public holidays are indicated by a red border.

Access to earlier or later dates

Depending on the date selected (shown above the schedule), the periods accessible before and after this date can be predefined. 

To navigate through these different periods and display the recorded operations, click on the timeline, hold the click and drag the timeline left or right to display the desired period.

Colors and planning signals

As indicated earlier in this documentation, the different activities correspond to colors, the description of which can be accessed at any time by clicking on .

In addition to these various activities, there are a number of other useful indications when working with the schedule.

  : A vehicle release date is scheduled. (Non-blocking)

: An actual vehicle exit date is entered. (Blocking)

  : When a customer has deposited a guarantee and this is entered on myrentcar, the customer's name is underlined.

: These two arrows indicate that the departure and arrival agencies are different.

: This signal indicates that additional information has been entered on the file for departure or return.

: Red border under activity blocks indicates overlapping documents. 

 : The arrow before the activity indicates that there is an anomaly concerning the vehicle's location. For example, if the vehicle departs from branch A but is at branch B, this arrow indicates this here.

Business creation

To create an activity, left-click on the line of the chosen vehicle and stretch the period as required. This will open a window allowing you to select the desired activity.

" Quotation" : It is possible to make an estimate via the schedule. However, they do not appear on the calendar, but can be accessed from other screens.

"Réservation" : Once a reservation has been created, it can be modified directly on the schedule. 

"Contract", "Other contract", "Credit note" et "Movement" : Depending on your needs, select the required document and refer to the corresponding documentation.

To cancel the creation, click outside the proposal window.

Displaying information

To view an activity's basic information (customer, dates and departure or return information), click on the activity. A window opens to display this data. 

There are several action buttons on the booking information window, enabling you to transform this activity into a contract (short-term or other).

The details of each activity allow you to access the complete activity file. To do this, click on Capture open.

Modifying an activity

It is possible to modify the activities created, particularly reservations.

For reservations only, the instantaneous move feature allows you to shift the reservation from one vehicle to another (in the case of a category reservation, for example). To do this, click on the reservation and drag it onto the line of the desired vehicle.

For reservations, contracts and movements, you can modify the duration by extending or reducing the activity block. To do this, place the mouse on one of the edges of the reservation and stretch the zone as required.
