List of long term files in myrentcar

Find out how to manage your list of long term files (LT) in myrentcar.

In your myrentcar car leasing software, Long Term files enable you to manage medium-term (between 3 and 6 months) and long-term (over 6 months) vehicle rentals simply and completely.

The aim of this documentation is to explain the basic management of an LT file. Other documentation is available for managing invoicing and budgets, for example.

The LT file list screen provides a quick overview of all the agency's LT files.

When accessing this screen, the table appears empty by default, with the message "No data to display". To display LT files, it is necessary to perform a search.

View all LT files

 To display all folders, click on the .

You don't need to load to see the whole list, just use your mouse to scroll down to see the rest of the list.

Search for one or more folders

The search can be narrowed down by entering a criterion in the field provided and then clicking on the button.

This search targets the terms contained in the search field and displays results if that term appears in a column, regardless of the column or the term's place in the data.

If there is only one search result, myrentcar will directly open the corresponding folder.

For example, it is possible to filter the list of LT files according to a particular criterion, such as the customer's name.

When searching on 1 or 2 letters or numbers, the results containing your criterion may be numerous. This may not be precise enough, in which case the search must be better defined or the customer must be found on another results page.

Search for current folders

Unlike the previous search, which gives you all the files, it is possible to view only those files that are in progress, i.e. those that have not been closed. To do this, use the corresponding button before performing your search.

: This button allows you to target the search to files in progress at the time of the request.

Search for incorrect files

It is possible that a file is considered to be incorrect and cannot be billed. The search function can be used to display these files so that they can be processed and made valid.

A file is considered to be in error when a problem is detected on the benefit lines in the "Details" tab. The search will therefore display the following files:

  • The file has no benefit lines.
  • The file has one or more service lines with no price.
  • The file has a single type L service line (type previously set and visible when selecting the service) with the Deletion box ticked. Thus, the following example will create an error:

Sort the list of LT files

As elsewhere in myrentcar, you can change the way the list is displayed by sorting the table by column. To do this, once you've chosen a column, click on its header to sort upwards, and click again on the header to sort downwards. An arrow will show the sorting applied.

Export LT file list

Once the table has been formatted, you can export the customer list in spreadsheet format by clicking on the button.

If the total number of files exceeds this number, display the complete list before exporting (see above).

Create a new long term file

Myrentcar offers several options for creating a Long Term file:

  • From the current list, by clicking on the
  • Or from an existing Long Term file (using the action buttons).
