Use of myrentpad

Learn how to use myrentpad.

Once the myrentpad vehicle inspection application is properly installed and configured, here is how to use it.

If the installation of myrentpad has not been completed, you can find the installation and configuration documentation here.

Important: This documentation pertains to the myrentpad module, not rentpad. The myrentpad app is an add-on module that requires migration. Request your myrentpad demonstration here.

Myrentpad menus

The home screen of myrentpad includes several menus:

Provides access to application settings and enables signing of documents.

Displays the last automatic synchronization time and indicates if any inspections are pending synchronization.

Activates the camera-based license plate recognition feature. The button is active (orange) only in the Vehicles, Contracts, and Movements menus.

Allows navigation back to the home screen.

Enables creating a manual descriptive inspection for a fleet vehicle, such as preparing for a future rental or removing damages after a repair.

Facilitates inspections at the start or end of a vehicle rental. This menu lists all ongoing short-term (CD) or long-term (LD) rental contracts.

Displays all ongoing movements for performing check-in or check-out inspections.

Placeholder for future features.

Myrentpad settings button

The settings button provides access to several useful menus:

  • About: Displays an information screen with the URL of myrentcar and the versions of myrentpad and myrentcar. This information may be requested for support purposes.

  • Company Management: Allows viewing the registered company and associated agencies (e.g., to add/remove agency synchronizations). This menu also enables license dissociation to unpair myrentpad from myrentcar.

  • Document Signing: Provides access to rental contracts that require signatures initiated from myrentcar. This menu allows clients to digitally sign their contracts.

  • Synchronization: Synchronization occurs automatically every 15 minutes, but it can also be initiated manually here.

  • Log Screen: Displays an error log for issues that occurred on myrentpad. This information may be required for support purposes.

Vehicle inspection on myrentpad

This menu allows you to perform a status check on a vehicle at any point during its lifecycle (e.g., when it enters the fleet or during a workshop visit). These inspections are not tied to a commercial document but will be recorded, and their details will be carried over to the next rental.

In this menu, you can view the fleet’s vehicle list and select the vehicle for inspection.

Selection can be made either by:

  • Using the search field (to search by license plate, number, or model), or
  • Using the magnifying glass button for visual recognition.

Once the vehicle is selected, a screen will prompt the user to identify themselves by entering their PIN code.

The steps for entering a "Manual" inspection will then be displayed. These steps may vary depending on the configuration of the vehicle category.

"Defaut" tab

One or more vehicle diagrams may be displayed here, depending on the configuration.

To add damage to the diagram, activate the edit mode either by clicking the "Edit" button or by double-clicking on the image.

The damage entry screen allows you to add damage by double-clicking on the chosen position:

  1. Select the appropriate pictogram.
  2. Optionally add a note or take a photo of the damage.
  3. Click VALIDATE to confirm.

The damage is then placed on the diagram.

To delete or modify existing damage, double-click on the damage pictogram to activate the modification panel on the right.

Note: You can zoom in on the image by pinching the screen. This can help position damage more precisely.

Once the damage entry is complete, click the back arrow to return to the previous screen. You can then proceed to the next step.

"Photos" tab

This tab allows you to save up to 10 photos of the vehicle.

Use the camera button to take and save a new photo.

Above each saved photo, you will find various buttons:

 Enables damage entry on the photo, following the same principle as the "SCHEMAS" tab.

Allows you to enter notes related to the photo.

Activates the drawing tool for annotations directly on the photo.

Provides options to crop or rotate the image.

Removes the photo.

Allows taking a new photo to replace the current one.

"Interior report" tab

In this step, check the boxes to indicate whether elements are present and/or functional, based on the configuration of the vehicle category.

"Checklist" tab

Depending on the configuration, this tab allows you to check off items to confirm their presence. In some cases, you may be required to enter a value.

"Counters" tab

This step allows you to update the fuel level, record the vehicle's mileage, and add additional notes if necessary.

"Validation" tab

This final step allows you to confirm and validate the inspection entry in myrentpad.

Check-in/Check-out inspection for a rental contract

This menu displays the list of active rental contracts, allowing you to select the contract for which the inspection is to be performed.

Selection can be made either by:

  • Using the search field (to search by contract number, license plate, vehicle number, or model), or
  • Using the magnifying glass button for visual recognition.

Once the contract is selected, a window will prompt you to record a departure report, a return report, or a return report with vehicle replacement.

Departure report

For a rental check-out, the steps are the same as those for a vehicle inspection, except for the VALIDATION step.

In this screen:

  • The name of the driver listed in the rental contract is displayed (it can be modified to indicate the name of the person signing the check-out inspection).
  • The client's email address from the contract is also displayed. You can edit it and toggle the checkbox to enable or disable email delivery.

 

Next, click "Sign and confirm" to activate the signature pad for the check-out inspection.

Once the signature is validated, the check-out inspection is saved.

It will be visible in myrentcar after the next synchronization.

Return report

Recording a check-in inspection follows the same steps as manual inspections or check-out inspections.

The only difference is in the "Counters" step, which recalls the fuel level and mileage from the check-out. You must enter the observed levels upon return.

Once the signature step is validated, the check-in inspection is saved.

It will be visible in myrentcar after the next synchronization.

Return report with replacement

The check-in with replacement feature allows you to replace a vehicle in a contract without closing the contract.

In this case, an additional step is required during the check-in inspection: the "Replacement" tab.

In this step, you will need to select the license plate of the new vehicle.

Upon validating the inspection, the replacement details will be visible in the dedicated "Replacement" tab within the myrentcar contract.

Viewing inspections in myrentcar

During synchronization, the check-in and check-out details of the contract are automatically updated based on the information from myrentpad:

  • Actual rental check-out or check-in date and time
  • Fuel level at check-out or check-in
  • Mileage at check-out or check-in

The inspections can be viewed in the myrentcar application by clicking the button.

  • At the bottom of the vehicle record: Displays ALL myrentpad inspections recorded for this vehicle.
  • At the bottom of Short-Term Rental contracts and movements, and Long-Term Rental contracts: Displays ONLY the check-in and check-out inspections recorded for these documents.

"Rentpad report" tab

This tab displays all inspections performed using myrentpad:

  • D represents departure reports.
  • R represents return reports.
  • M represents manual reports.

Clicking on a line allows you to download or view the vehicle inspection in PDF format.

"Photos tab"

This tab provides access to all photos taken during the "PHOTOS" step in myrentpad.

  • Clicking on a line allows you to view the photo.
  • You can also download or delete a photo from this tab.
